Check Electronification
Over the past two years, Wausau Financial Systems has invested significant resources in research to identify trends in the payment industry and implement the insight gained into WFS and LD Systems' product development activities. The result is a revolutionary view of the payment system and a powerful suite of advanced image-based solutions designed to streamline all aspects of the payment system from capture, clearing, and settlement to exception handling, fraud prevention, and archive.

Wausau Financial Systems believes that transactions will be image captured at the point of presentment (POP) and that the captured transaction information and images will flow through the payment system. Industry, technology, and legislative forces are all coming together to support WFS and LD Systems' view of the future of transaction processing. The teller line, branch, ATM, and merchant are all points of presentment that WFS and LD Systems has image-enabled.

Wausau Financial Systems is actively involved in electronic clearing and settlement initiatives. Wausau has partnered with the Western Payments Alliance, EDS, and NetDeposit to provide a complete image exchange solution and announced in November of 2002 plans for an image exchange pilot in the 12th Federal Reserve District scheduled for the first quarter of 2003. Pilot participants include banks, credit unions, and savings banks in California and Utah, and do not require image capture systems. The pilot will consist of exchange of images between participating institutions for inclearings and outclearings that currently have image platforms implemented. Image Replacement Documents (IRDs) will be utilized for exchange to participants that are not image-enabled. Implementation of both image exchange and IRDs allows the pilot to accurately emulate the expected payment system landscape after Check 21.

Wausau Financial Systems is a recognized industry leader in the NACHA Account Receivable Conversion (ARC) initiative since the concept was first piloted among a select group of remittance processors in December 1999. The NACHA ARC program allows remittance processors to convert mail and drop box payments into ACH debit transactions. Paper checks are truncated at the point of remittance capture, resulting in improved revenue collections by narrowing the timeframe between depositing and collecting funds, reducing deposit item costs, limiting return check exposure, and significantly reducing processing workflow and expenses. Since becoming commercially available by NACHA in March of 2002, the monthly volume of ARC items has grown from a few thousand to over 2 million checks in December 2002. Three out of five of every ARC originated items generated in the 4th quarter of 2002 were processed using a WFS and LD Systems remittance system.

Not all items processed by billers are eligible for the ARC program, and as result WFS and LD Systems has announced the expansion of the image exchange pilot in the 12th Federal Reserve District. Remittance processors may participate in the exchange and send images directly to participating financial institutions. The goal for remittance processors is to convert all items processed to electronic items, either ARC, images, or IRDs.

ARC Conversion

ARC Conversion will be the defining force of remittance processing in the years ahead.

ARC Conversion is a major remittance processing paradigm shift. It has an industry impact that rivals in consequence automated mail extraction, high-speed transaction imaging and intelligent handwriting recognition. ARC is the conversion of ABA routing and account information on certain eligible paper checks into ACH transactions that are transmitted through the Automated Clearing House (ACH) system. Optima3 ACH Lockbox 
This standalone ARC solution enables financial institutions to offer ARC capabilities to lockbox clients who are unable or unprepared to invest in ARC technology in the immediate future. Optima ACH Lockbox has been built on the foundation of the industry’s leading image-based remittance system, ImageRPS. WFS and LD Systems has been actively providing ARC solutions since the inception of the NACHA Accounts Receivable Check Truncation pilot program in 1999. Consistently, more ARC transactions are originated on a WFS and LD Systems platform than that of any other vendor.

Optima ACH Lockbox is system independent and compatible with any remittance processing or capture vendor’s platform.

This robust solution is comprised of five primary components:

How Does It Work?
The client’s remittance processing system is integrated into the ARC decisioning interface (API) to determine which items are eligible for ARC. When installed at the central site, the processing lockbox will receive ACH file transmissions from the client, allowing eligible items to be turned into ARC transactions. This encompassing system allows institutions to offer ARC capabilities, in an extremely cost effective manner, to lockbox clients who are unable or not ready to implement it on their own.

The Optima IMS Document Distribution Module allows documents to be delivered in many different ways. These ways include emailing the document as an attachment, by sending a URL out that will bring the recipient to a document in the archive, burning and distributing a CD with a runtime database and software viewer, faxing the document from Optima IMS and simply printing and delivering.

COLD automatically identifies, compresses, indexes and stores reports and statements that are output from other computer applications systems.

Document Imaging scans, indexes and stores documents as digital images. Advanced features include distributed capture and indexing, image enhancement, bar code recognition, blank page separation and auto-enabled indexing.

E-Forms enables users to complete and submit HTML forms that are stored as documents in the IMS archive. This allows the forms to be stored in one centralized repository where users have access to complete the forms and where the same forms would be available for retrieval.

Remittance Archive automatically stores payment stubs and check images that are output from remittance processing system.

Data Mining through extracting report data rather than from host data bases provides a powerful, and very cost effective means of gathering the information required for making decisions and for the design of attractive products for your customers.

Security Options
Security is through a login and password, and can go all the way to document level. For example, a manager may have access to Human Resource records but for only his/her direct reports. This can be accomplished with an additional security keyword added to the documents. Menu items that are not included for a particular user will not even appear on the screen. Each user can customize to an extent the screen that he/she sees upon sign in.

With this free-form recognition option, you may select any area of any size on any image up to 8.5" to 11". The recognition engine is easily initiated through the use of a mouse. Any sized images that are captured with ImageRPS are eligible for recognition. Because of the seamless integration into the ImageRPS data completion module, and the ability to manipulate images to correct common operator-capture errors, you will benefit from the extended functionality that Full Page OCR provides.

What is it?

RPS Image Archive is a powerful, simple, and easy-to-use archive and retrieval tool. It expands and enhances the capabilities of both ImageRPS and ImageRPS LE remittance applications offered by Wausau Financial Systems. When a transport is equipped with an image camera, RPS Image Archive allows you to create your own library of information. Some of the highlights are:

  • It is an organized, simple-to-use tool for researching and archiving transaction images and data.
  • The ability to add, replace, or delete archive data and images.
  • A variety of both storage and retrieval options.
  • A master index for locating specific transactions or archive volumes.

RPS Image Archive was designed to minimize expenses while maximizing options, opportunities, and remittance operations. How does it work?

The Master Index:

  • This acts like a card catalog by locating the volume on which the desired information is stored.
  • All archive volume names are listed, both on-line and off-line. A summary of the information available on all volumes is also included.
  • The Master Index includes the following information: batch ID, batch date, batch check total, batch stub total, Pass 1 sequence number, account number, pocket cut ID, pocket total, deposit date information and the applied amount.

Searching, Viewing, and Printing:

  • If the user knows which volume has the desired information, the volume is loaded and a search can be done. In this situation, the user opens the volume, and searches by account number, batch, dollar amount, or pocket.
  • The Master Index can assist to locate the appropriate volume to load if the user is unaware of the desired information.
  • Document images and detailed information are available for viewing when a user opens a volume on-line.
  • If the volume is off-line, the system prompts the user to load the appropriate volume.
  • Allows the user to select the order of the information.
  • All items in a batch or pocket, daily totals, and individual items can be printed.

Storage Options:

Depending on your particular needs, WFS and LD Systems provides different storage options to meet your specific requirements.

  • Jukeboxes are offered in a wide range of sizes and options.
  • Removable Devices can include Zip disks, Jaz disks, and CD ROM's.

RPS Web Archive

What is it?

The RPS Image Web Enabled Archive application provides an exciting new means of researching and retrieving archived data and images via the utilization of a standard web browser.

By utilizing web-enabled technology, organizations are able to minimize the investment, licensing and upkeep in traditional archive applications that must be a resident application on every PC workstation utilized for research and retrieval.

Users simply launch their web browser and navigate to the appropriate web server containing archived images and data. Searches can be performed based on account number, dollar amount, batch and block information.

RPS Archive Lite

What is it?

RPS Image Archive Lite is a simplified version of the RPS Image Archive program. It is designed as a distributable viewer program automatically installed on each individual archive CD-ROM. Archive Lite will allow users to view and research archive CD-ROM's on any standard IBM compatible PC. This option is ideal for distribution to a wide variety of lockbox clients or internal enterprise users. RPS Image Archive Lite is backward compatible with older versions of RPS Image Archive software, allowing users the ability to research and retrieve information on older and newer archive CD-ROM's. RPS Image Archive Lite CD-ROM's are also compatible with the existing full featured RPS Image Archive application.

Research Tools

  • When a volume is opened by the volume manager, the RPS Image Archive Lite automatically starts the research tool with the current item highlighted.
  • At that point, items can be viewed as a set of items in a group of work (batch), or a group of sorted checks (pocket).

Volumes

  • A group of batches or pockets, or the items in a batch or pocket can be viewed in any order. Other items can be found by searching key fields.
  • The fields that are viewed, and the order that they appear in the research tool can be easily customized. The position and width of any column of data can also be temporarily changed if desired.
  • A report can be printed containing all the items in a batch or pocket. A daily totals report can be printed, or a single item can be opened and printed alone, or with other items within the transaction.

Gray Scale Imaging alleviates the tasks involved when processing payments that contain graphics or difficult to read print. With up to 256 shades of gray, grayscale images are available to operators for more accurate keying.

Full Page Optical Character Recognition (OCR) is a free form recognition engine that eliminates a majority of keying on full-page and check and list documents. Operators simply use a mouse to "rubberband" document images and capture columns of data. Full Page Recognition

Host Emulation provides a real-time interface to your host system for automated research and retrieval of account numbers, addresses and status. Your operators use up-to-date host system information to correctly complete missing transaction data. Perform your account research duties in real time during processing and eliminate costly off-line exception work.

Data Edits allow for easy customization of specific client or transaction processing requirements. Data edits are easy to setup and modify and can accommodate specific client processing business rules and requirements. An extensive library of over 300 Data Edits is included with the standard ImageRPS software package. Exception Capture Options offer flexibility to meet all of your document capture needs.

  • Several TWAIN compatible scanners are available for easy full-page scanning.
  • The NCR 7731 and Panini S120e Vision tabletop transports are low cost alternatives for check-sized documents and offer both encoding and scanning capabilities.

The Return Item Database helps create a "reversal" or debit transaction for NSF and returned checks. Using the MICR line of the check, this application searches for a matching customer account number. Matched items are compiled into a host file for updating your host system.

The MICR Database module speeds check only processing by automating the research and validation of account numbers stored from historical transactions.

The Name and Address Database module speeds check only/no doc transaction processing by providing operators an Address Database to query for account number(s) during processing.

Expanded Data Entry Capabilities
Do you key additional stub data on multiple systems? Would you rather work from captured images rather than routing paper items to various departments? Key From Image provides enhanced data entry of exception items that you may currently key off-line. Images are imported from ImageRPS into Key From Image and customized data entry screens are available to tackle address changes, marketing data collection or other data capture requirements. Processed data is compiled into a file for updating your host system. WFS and LD Systems' Key From Image puts a stop to routing paper by using existing captured images.

This intelligent character recognition tool operates on images from business card size up to 8.5 x 11.0 inches that are captured on any capture platform integrated with the ImageRPS application. RPS Host Emulation

Host Emulation allows remittance processing system users to interface in real-time to their host systems for researching and retrieving customer account information, such as account number, address, and account status.

What are the benefits?

  • Automates off-line exception item processing tasks. Items with insufficient account information would normally be rejected, however, operators can simply toggle over to the host emulation program to find the missing information quickly.
  • Instant look-up and access to updated host system customer information. Users can utilize up-to-date customer information in the host system mainframe.
  • Utilize your workforce better. System operators can be utilized for multiple tasks. Duties previously performed across multiple departments can now be combined for greater efficiencies.
  • Versatility. Host emulation can be customized to the user's specific processing environment.

The above picture shows the drop down selection of potential matches available to the user. The user simply selects the appropriate customer information and presses [enter] to populate the ImageRPS application field.

RPS  Key From Image

Key From Image from Wausau Financial Systems is a program that allows users to display images on stubs and to key in data from these stored images. Export files and reports are then created once all the data for a consolidation has been entered. This replaces outsorting stubs during capture and manual re-entry of data.

Features

  • Mark Sense is used as the indicator to flag an image for display when special processing may be necessary.
  • Allows the user to key information from the stub into a series of fields on the screen.
  • Provides the ability to move forward or backward through the images within a single consolidation.
  • Supports image manipulation including displaying the front or back of the image and flipping an image 180 degrees.
  • Extracts necessary data directly from RPS database, but cannot corrupt the original tables.
  • Allows multiple users to key data simultaneously by client and consolidation.
  • Runs without having FoxPro installed on the workstation.
  • Protects against errors by utilizing various built-in validation routines.
  • Separate screen configurations by client. Each client can have a different Mark Sense field.

What are the Benefits?

  • By making the stub keying process more efficient, you will save additional time.
  • Physical stubs no longer need to be out-sorted for keying purposes.
  • Information is stored in FoxPro tables. These tables can be easily integrated into other FoxPro programs, such as a host file program.
  • By incorporating into existing WFS and LD Systems products, training is kept at a minimum.
 
RPS Database Tools

Wausau Financial Systems offers three distinct database tools to enhance the functionality of the ImageRPS Remittance System. The three database tools are
  • NSF Return Processing,
  • MICR Database Checks-Only Processing, and
  • Address Database.

By automating tasks that may be normally performed offline, a great deal of time and effort can be saved. When these database tools are used independently or together, processing interruptions are significantly lowered.

NSF Return Processing

By using this option, productivity is greatly improved while processing returned checks. This is possible because the NSF Return Processing database helps create a "reversal" or debit transaction for NSF checks. Once activated, it captures and stores the MICR line of checks and corresponding stub information.

How does it Work?

A separate batch is run when the NSF items are returned. The remittance application looks up the MICR line in the database and:

  • The NSF checks that contain matches to the NSF Database are processed as regular "checks only" batches.
  • A host file of all the reversal transactions can be created automatically. A large amount of manual labor is saved with this available.
  • NSF checks without matches in the NSF Database are out sorted for special handling.

Features

  • The module searches for a match on the check's MICR line. If no match is found in the database, the check is out sorted to be looked into further.
  • The user designates how long the NSF Database is to retain items.
  • If a duplicate MICR line is encountered as checks are added to the database, the record in the database is flagged as a "duplicate".
  • The system never uses a "duplicate" entry for lookup. It out sorts duplicate checks for validation to ensure that the reversal is properly processed.
  • The system generates the appropriate host file required to produce the reversal for NSF transactions.

Stored Data

The following data is stored in the NSF Database option:

  • Up to five account numbers
  • Batch, document group, and bank ID
  • Transaction number
  • Number of checks in original transaction
  • Ending stub sequence number
  • Process date and batch number
  • Pass-One stub sequence number
  • Date when the item was added to NSF Database

MICR Database Checks-Only Processing

When an operator encounters a transaction that does not have a stub or a valid account number, the MICR Database Checks-Only Processing module allows the operator to quickly locate and associate the customer's account number with the check.

How Does it Work?

  • Displays customer account numbers for any previously processed checks that match the current check's routing number and On-Us field.
  • The user can set up the system to automatically post transactions for which there is only one match.
  • The operator may also select one of the account numbers displayed, key in an account number, use the optional Address Database to verify the account number, or perform some other type of off-line lookup.
  • A function key is used to display account number matches.
  • The system displays all previously processed amounts with MICR lines that match the current MICR line. The operator selects the appropriate match from the list.

Address Database

The Address Database module allows operators to query an Address Database for the corresponding account number(s) using only a name and address. With this option, processing time is greatly reduced.

How Does it Work?

  • Can be used alone or in conjunction with the MICR Database Checks-Only Processing Module.
  • If the MICR Database module is enabled, the system uses it first to locate account numbers that match the current MICR line.
  • The Address Database may then be used to verify any account number matches.
  • If no matches are found or a MICR Database is not available, the Address Database is used to locate account numbers.
  • The operator uses a function key to access the Address Database, which causes a query screen to appear.
  • The operator is prompted to provide the customer's last name and zip code.
  • The customer's full name, address, city, state, zip code, country, and account number are then listed.
  • After the operator selects the information, processing is then continued.

  • All of the database tools are easy-to-use and user friendly.
  • Processing interruptions are significantly reduced.
  • Flexibility by allowing the user to determine retention or search criteria in certain cases.
 
RPS Remote Keying

Wausau Financial Systems realizes the growing challenge that companies encounter related to having remote processing sites. With the ImageRPS application from Wausau Financial Systems, the ability to have a remote processing site connected to the host processing site is easily arranged by adding the Remote Keying option.

T1 High Speed Data Connection

Features

  • Servers are easily connected via a T1 line. Users can initiate a session by simply clicking on an icon to log onto the host sites systems' shared drive over a LAN or WAN.
  • Logins and client setups are copied to the remote operator's local hard drive.
  • During check-out, batches are compressed and passed across from the host site to the remote operator's hard drive.
  • Afterward, the keying batches are recompressed and transmitted back to the host system.

Benefits

  • The transfer of data, and image files are handled in an efficient and reliable manner.
  • A T1 enabled WAN or LAN provides the throughput necessary to handle a significant labor force keying remotely.
  • Load-leveling of work to more effectively utilize all resources.

Complete Functionality

Features

  • At the remote site, the user has complete access to full images during keying.
  • Permissions predetermine the privileges of the remote user to key any, or all available jobs. The ability to research and edit batches and items within the ImageRPS application is also secured.
  • Statistics are available as if the remote operators were keying in the host location.
  • Log files are generated for each event that can track and monitor the remote users.
  • Gray scale images are compressed and viewed with ease.
  • All standard keying functions are available with Remote Key. These include Display Key Ahead, Zoom, Scroll, Rotate, Reject, Insert, Rear-Image View, and Save Preferences.

Application Level Security

Features

  • Unique eight character alpha/numeric/alpha and numeric log-in and password.

ImageRPS Data Completion Training (CBT)
Would you like to reduce the costs of employee training? Provide refresher training to current operators? Or, present a consistent training experience without having to utilize additional human resources?

To meet ongoing training needs of ImageRPS customers, Wausau Financial Systems offers a computer based training program (CBT) for ImageRPS Data Completion.

This self-paced CBT utilizes animation, video and instructional activities to teach entry-level operators basic skills to help simplify the new hire training process. The program reviews the basics of the remittance industry, ImageRPS workflow, and the data completion function within ImageRPS. By choosing to implement computer-based training, you can reduce the time necessary to train new employees and save the time and expense of having to allocate a trainer specifically to all new hires, as they may begin training on their own.

The program contains three lessons:

Lesson 1: Introduction
Gain general remittance industry knowledge such as what is remittance processing, types of transactions, parts of a stub, and parts of a check.

Lesson 2: ImageRPS
Understand the ImageRPS workflow and the importance of the Data Completion operator job within that workflow.
